Everything you need to know about creating and managing UGC campaigns with FansFrame.
Set up your first campaign
1. Create Your Account
Sign up for FansFrame by choosing a unique workspace slug. This will be your URL: fansframe.com/p/your-slug
Select a plan that fits your needs. The Free plan is perfect for getting started!
2. Create Your First Campaign
- Click "New Campaign" from your dashboard
- Choose a campaign type (Contest, Sweepstakes, Voting, etc.)
- Fill in campaign details: title, description, dates
- Customize settings like media types, submission limits, and moderation
- Add a banner image to make your campaign stand out
- Publish and share your campaign link!
3. Share Your Campaign
Once published, your campaign gets a public URL that you can share anywhere:
- Social media posts
- Email newsletters
- QR codes for in-store promotions
- Website embeds (Pro plan)
4. Moderate Submissions
As submissions come in, our AI moderation helps you review them quickly:
- AI analyzes each submission for content quality and compliance
- Review submissions in your dashboard
- Approve, reject, or flag submissions
- Approved submissions appear in your public gallery

Contest
Best for: Photo competitions, creative challenges, fan art contests
How it works: Participants submit entries competing for prizes. You review and select winners based on criteria you define.
Pro tip: Set clear submission guidelines and judging criteria in your campaign description. Limit to 1 submission per user to keep it fair.
Sweepstakes
Best for: Holiday giveaways, product launches, simple enter-to-win campaigns
How it works: Every submission gets an equal chance to win. Winners are selected randomly.
Pro tip: Keep entry requirements simple. Clearly state prize details and eligibility. Set a clear end date for transparency.
Voting & Leaderboard
Best for: Community-driven contests, popularity competitions, engagement campaigns
How it works: Community votes on submissions. Leaderboard shows top-ranked entries based on vote scores.
Pro tip: Promote the voting period separately from submissions. Enable both upvotes and downvotes for authentic ranking.
Referral
Best for: Word-of-mouth campaigns, testimonial collection, viral growth
How it works: Participants share content that brings in new contributors. Great for building community.
Pro tip: Allow multiple submissions so users can share different experiences. Enable both images and videos for varied content.
Achievement / Collection
Best for: Seasonal photo collections, community galleries, ongoing campaigns
How it works: Collect themed content from your community to build a gallery or digital collection.
Pro tip: Allow unlimited submissions to build a large collection. Use the magazine template for a rich, editorial feel.
Frequently asked questions
Our AI analyzes each submission for content appropriateness, quality, and relevance to your campaign. It provides recommendations (approve/reject/review) with confidence scores and detailed reasoning. You always have final control over moderation decisions.
Images: JPEG, PNG, GIF, WebP. Videos: MP4, QuickTime, WebM. Maximum file size: 100MB. You can configure allowed media types per campaign.
Go to Settings → Billing from your dashboard. You can upgrade or downgrade at any time. Upgrades take effect immediately. Downgrades take effect at the end of your current billing cycle.
Yes! You can customize your brand colors, upload your logo, choose from multiple templates (Classic, Showcase, Editorial, Immersive), and select submission display layouts (Grid, Masonry, List). Pro plan includes custom CSS for advanced customization.
Yes, FansFrame is GDPR and POPIA compliant. We provide built-in data deletion tools, privacy controls, and transparent data handling. Submitters can request data deletion at any time via the "Delete My Data" link in campaign footers.
Common issues
Uploads failing or taking too long
- Check file size — maximum 100MB per file
- Ensure file type is supported (JPEG, PNG, GIF, WebP, MP4, MOV, WebM)
- Try compressing large images before uploading
- Check your internet connection
AI moderation not working
- Check your AI token balance in Settings → Billing
- Ensure AI moderation is enabled in your campaign settings
- Upgrade your plan if you've exhausted your monthly tokens
- Contact support if issue persists
Campaign not appearing in public gallery
- Ensure campaign status is set to "Active"
- Check that your campaign start date has passed
- Verify campaign end date is in the future (unless evergreen)
- Make sure you've published the campaign (not draft)
Branding not updating
- Clear your browser cache and refresh the page
- Ensure you clicked "Save Changes" after updating branding
- Try uploading logo in a different format (PNG recommended)
- Check image dimensions (recommended: 200x200px minimum)
Can't invite team members
- Team features require a paid plan (Starter or above)
- Check you haven't reached your plan's team member limit
- Verify the email address is correct
- Ask team member to check spam folder for invitation
